JOB TITLE: Sales & Marketing Coordinator
DEPARTMENT: Sales
REPORTS TO: Director of Sales and Marketing
TASKS, DUTIES AND RESPONSIBILITIES
Maintain and update client data base
Handling correspondence
Filing and keeping filing cabinets in good order
General administration
Handling telephone enquiries efficiently
Receive invoices for advertising and marketing and arrange payment
Ordering of collateral
Updating hotel database
Updating and managing Property Account Management Program (PAMP)
Hotel Site Inspections with prospective clients
Liaising with the media for photo shoots, editorials, advertisements
Sending out and following up on STO contracts
Communication of special deals
Attending to brochure requests
Updating information on Sales & Catering
Preparing Sales packs
Recording Sales & Marketing meeting minutes
Knowledge on Microsoft office
Liaising with clients/suppliers in the absence of the Senior Sales Manager or Director of Sales and Marketing
Source Sales opportunities for the hotel within the region and forward sales leads with the hotel employed at being one’s primary focus
Assistance with site inspections
Communication of upcoming specials, deals and events to prospective clients.
Handling of sponsorships, prizes and donations
Communication of special deals, upcoming events to clients
Co-ordination of local and international sales trips
Managing client profile information files
Assists in the completion of reports for both Sales and Revenue
LAWS, REGULATIONS AND POLICIES
Follows all applicable laws and corporate standards and guidelines
HEALTH AND SAFETY
Ensures that all potential and real hazards are reported and reduced immediately
Fully understands the hotel’s fire, emergency, and bomb procedures
Ensures that emergency procedures are practiced and enforced to provide for the security and safety of guests and employees
Ensures that all employees within own department work in a safe manner that does not harm or injure self or others
Stimulates and encourages a general awareness of health and safety in tasks and activities managed within the department
Ensures the safety of the people and property within the premises by applying hotel regulations, and adhering to existing laws and regulations
Anticipates possible and probable hazards and conditions and either corrects them or take action to prevent them from happening
Ensures that the highest standards of personal hygiene, dress, uniform, appearance, body language and conduct of hotel employees is maintained by all employees in the department
MISCELLANEOUS
Attends meetings and training required by Director of Sales
Maintains proper flow of information within the hotel by reviewing sales work file of assigned accounts
Assists colleagues to perform similar or related jobs when necessary
Ensures guest satisfaction by attending to their requests and inquires courteously and efficiently
Accepts flexible work schedule necessary for uninterrupted service to hotel guests and stakeholders
Maintains own working area, and materials clean, tidy and in good shape; reports defective materials and equipment to appropriate person within the hotel
Continuously seeks to endeavour and improve the department’s efficient operation, and knowledge of own job function
Is well updated on, and possesses solid knowledge of the following:
Hotel fire, bomb and emergency procedures
Hotel health and safety policies and procedures
Hotel facilities and nearby sights of interest and importance (i.e. hospitals, stations, tourist sites)
Hotel standards of operation and departmental procedures
Current licensing relating to own department and to the hotel
Accepted methods of payment by the hotel
Requirements for (SCA 102)
Graduates in any Social Sciences or any related discipline
Professional certification will be an added advantage
Minimum of 2-4 years’ cognate experience in chosen field
Communication and analytical skills
Good written and presentation skills
Ability to work effectively in an innovative, fast paced and multi-tasked environment
