Job description
The responsibilities for this role include:
► Devising and maintaining office systems, including data management and filing
► Arranging travel, visas and accommodation and occasionally, traveling with the line manager to take notes or dictaion at meetings and to provide general assistance at presentations
► Screening of all incoming calls, enquiries and requests, and handling as as when appropriate
► Meeting and greeting visitors at all level of seniority
► Organizing and maintaining line manager's diary and appointments
► Dealing with incoming emails, faxes and post, often corresponding on behalf of line manager
► Taking minutes and dictation
► Carrying out background research and presentation of findings
► Producing documents, briefing papers, reports and presentations
► Organizing and ensuring line manger is well prepared and punctual for meetings
► Liasing with clients, suppliers and other staff
Job Requirements
The requirements for the role include:
► A good first degree in administration or management
► Minimum of 5 years experience in similar role, with experience working with expatriates an added advantage
► Exceptional written and oral communication skills
► Excellent word processing and IT skills, including knowledge of range of Microsoft Office packages
► Ability to work under pressure and to tight deadlines
► Good organizational and time management skills
► Honesty, reliability and attention to detail
► Flexibility and adaptability to juggle a range of different tasks and willingness to work extra hours to meet deadlines
► Discretion and good understanding of confidentiality issues.
► Ability to research, digest, analyze and present material clearly and concisely
► Excellent interpersonal skills
